PLATFORM & INSTITUTIONAL GOVERNANCE
Terms of Use
Effective and last updated: 2 September 2026
These terms govern use of the Charis Ministry Institute (“CMi”) website, application journey, myCMi, staff portals, learning services, digital records and institutional communications. By using the platform, you agree to use it lawfully, honestly and only for its intended institutional purpose.
1. CMi’s institutional character
CMi is a Kingdom-advancing ecclesiastical learning institute providing theological, ministerial, mentorship and leadership formation for Christian service. Unless expressly stated otherwise, its programmes are not registered higher-education or occupational qualifications, do not carry SAQA accreditation, and do not guarantee employment, professional registration or occupational licensing.
2. Eligibility and authority
You must provide truthful information and have legal authority to submit every document, reference and personal detail provided. A church leader, parent, employer or representative acting for another person must have proper authority. CMi may request proof of identity or authority before acting.
3. Accounts and security
- Use only the account and role issued or authorised for you.
- Keep your email, verification codes and authenticated sessions secure.
- Do not share credentials, impersonate another person or bypass permissions.
- Notify CMi promptly if access may have been compromised.
CMi may revoke sessions, require account re-verification or temporarily restrict access where necessary to protect records and users.
4. Applications and admission
Applicants must submit complete and accurate information and authentic, relevant documents. Application submission and payment of an application fee do not guarantee admission. Decisions remain subject to authorised review, programme capacity, requirements, document and payment verification, and CMi’s formation mandate.
5. Registration, fees and payments
Registration is complete only when CMi’s academic and financial requirements have been met and an authorised record confirms registration. Students remain responsible for published tuition, administration and other applicable fees. Payment references must be accurate. Receipts, allocations, adjustments and refunds are governed by verified transactions and CMi’s approved financial policy.
6. Bursaries and financial assistance
Bursary submission does not create an entitlement to funding. Awards depend on verified need, ministry calling, available funds, institutional approval and continued compliance. False information may result in rejection, withdrawal of an award, financial correction or disciplinary review.
7. Learning participation and attendance
Students must participate in the programme, stream and modules for which they are registered and meet published attendance, coursework, assessment and formation requirements. Access to materials or a portal alone does not establish completion, graduation eligibility or certification.
8. Academic integrity and assessments
Assessment work must be the student’s own except where collaboration is expressly permitted. Plagiarism, impersonation, unauthorised assistance, copying, pasting prohibited material, altering results or interfering with timed assessments is forbidden. Results are provisional until authorised marking, moderation and publication are complete.
9. Conduct, discipline and safeguarding
Users must treat others with dignity and comply with CMi’s conduct, discipline, safeguarding and lawful-instruction requirements. Harassment, threats, abusive communication, discrimination, exploitation, fraud, deliberate disruption and misuse of confidential information may result in investigation and proportionate action, including suspension or deregistration, subject to fair process.
10. Learning materials and intellectual property
Course notes, recordings, examinations, question banks, manuals, designs and platform content remain protected by applicable rights. Registered users receive a limited, personal right to use authorised materials for their CMi studies. Materials may not be sold, publicly distributed, recorded, reproduced or used to train another service without written permission.
11. Uploads and acceptable use
Do not upload malware, unlawful or abusive content, excessive files, confidential information without authority, or material unrelated to CMi activities. Do not probe security, scrape protected data, overload services or attempt unauthorised access. CMi may quarantine content, preserve evidence and restrict access.
12. Official records and communications
Decisions, registration confirmations, receipts, statements and academic records are official only when issued through an authorised CMi process. CMi may correct administrative errors and investigate altered documents. Users must keep contact information current and monitor authorised email, WhatsApp or portal notices.
13. Privacy and electronic communication
Personal information is handled under the Privacy Notice. By supplying contact details, you permit CMi to send necessary application, academic, financial, security and institutional messages. Optional promotional communication may be managed separately where required.
14. Availability and external services
CMi aims to keep services available but may perform maintenance, respond to security risks or experience events beyond its reasonable control. Third-party payment, communication or hosting services are governed by their own availability and terms. CMi will take reasonable steps to preserve continuity and accurate records.
15. Suspension, deregistration and termination
Access may be suspended or ended for security reasons, non-payment where applicable, material breach, misconduct, academic dishonesty, unauthorised use or deregistration. Ending portal access does not erase outstanding obligations or records CMi must retain. Applicable review and appeal processes remain available under CMi policy.
16. Responsibility and limitation
Users remain responsible for their decisions, devices, connectivity, submitted information and compliance. To the extent permitted by South African law, CMi is not responsible for indirect loss arising from unauthorised use, user error, third-party failure or events beyond reasonable control. Nothing excludes a right or responsibility that the law does not permit CMi to exclude.
17. Governing law and concerns
These terms are governed by the laws of the Republic of South Africa. Concerns should first be raised with the relevant CMi office through the appropriate complaint, academic, financial or disciplinary process. Nothing prevents a person from approaching a competent authority where legally entitled to do so.
18. Changes and contact
CMi may update these terms to reflect institutional, platform or legal changes. Material changes will be published with a revised effective date. Questions may be sent to info@charismi.co.za.
